Cards — Creating, Editing & Navigating

A Card is an individual index card inside a stack. Cards can hold rich text, images, drawings, and more — and every card has both a front and a back side. Just like the real thing!


Two Ways to Create a Card


Route 1: Create a Card From the Home Page

Use this route when you want to quickly capture a card and choose which stack it goes into.


  • Click Add New Card [+] in the top bar of the Home page.

  • A card editor opens as an overlay on top of the Home page.

  • At the top of the editor, use the stack selector dropdown to choose which stack the card belongs to. The dropdown lists all stacks across all your workspaces, grouped by workspace name.
  • Write your content, then click the Save button (floppy disk icon) to save it to the selected stack.
  • Click to close without saving.


Route 2: From Inside a Stack

Use this route when you're already working inside a specific stack.

  1. Open a stack from the Home page.
  2. Click Add New Card [+] in the top bar of the Cards View.

  1. A blank card opens immediately — no stack selector needed, it already belongs to this stack.
  2. Write your content and save.

> Key difference: From Home you pick the stack; from inside a stack it's automatic.


The Card Editor

Clicking any card thumbnail opens it in the Card Editor.

Card Toolbar

The row of icons at the top of the card:

Icon Action
Save (floppy disk) Save the card
Background color Change the card's background color
Image Insert an image into the card
Templates Select from Editable and Non-Editable Backgrounds
Tag Set Category Tags for the Card
Draw (pen) Switch to drawing / handwriting mode

Each card consists of a Title text area and Body text area.  Keep your titles to one line, but the body can contain multi line text.


Text Formatting Bar

The row of text controls below the card toolbar:


The text format icons that show depend on whether you are editing the Title or the Body.

Title has:

Bold · Italic · Underline · Strikethrough · Font family · Font size · Text color · Highlight color · Text alignment · Line spacing · Superscript · Subscript · Special characters · Undo · Redo · Clear formatting


Body has:

Bold · Italic · Underline · Strikethrough · Font family · Font size · Font Up ·  Font Down · Text color · Highlight color · Text alignment · Line spacing · Number Bullets · Normal Bullet · Checklist · Decrease Indent  · Increase Indent  · Table · Code · Link · Superscript · Subscript · Special characters · Undo · Redo · Clear formatting


Note: Depending on the size of the Card on the screen you may need to click the > to scroll to see more of the text toolbar:

> Line spacing: Use the line spacing icon in the toolbar to switch between single, 1.5×, and double spacing in the card body.

In the Cards grid view, click ... on any card thumbnail to access:

Move To Group Move the card into a group within this stack
Move To Stack Move the card to a different stack
Copy To Stack Copy the card to another stack
Copy Text Copy all card text to clipboard
Move Card Up / Down Reorder the card within the stack
Set Tag Add or change the card's tag
Set Card as Stack Image Use this card as the stack's thumbnail cover
Copy Card as Image Copy the card as an image to clipboard
Export Card as Image Save the card as an image file

Moving Cards to a Different Stack

In the normal view of NoteDex when you are viewing a Card, the easiest way to move a card from one stack to another stack is to use the '...' menu on the top-right of the card. Select 'Move to Stack'.


When you do that a pop-up window will appear asking to select which Stack (with Workspace selector dropdown at top) you want to move the Card to.


You can also move Cards to a different Stack in the Card Thumbnail view by clicking the '...' menu on the card thumbnail. That will bring up menu option to 'Move to Stack'.


Working with Tables

Click the table icon in the text formatting bar to insert a table. Use the grid picker to choose the number of rows and columns.

Table Toolbar

When your cursor is inside a table, a small table toolbar appears with:

Control What it does
Header Toggle a styled header row
Insert / Delete Row Add or remove a row
Insert / Delete Column Add or remove a column
Cell Color Apply background colour to a cell
Delete Table Remove the entire table
Alignment Set text alignment within cells
Dashed Borders Toggle dashed border style

To insert a hyperlink:

Just paste a hyperlink onto the card, or:


  1. Click the hyperlink icon in the text formatting bar (or paste a URL directly — NoteDex auto-detects URLs).
  2. Enter the web address and optionally a display label (e.g. "NASA Orion" instead of the full URL).

Clicking a link in the card brings up three mini-icons:

Open Opens the link in a new tab
Edit Change the URL or display text
Remove Delete the link

Change Card Color

Use the change card color icon to select a card background color.

Insert Image

Click the insert image icon to insert an image into the body area. You can also paste an image into the body - make sure your cursor is showing in the body else paste will not work.


Even though it can sometimes be hard to see depending on the image, there are three actions when you click on the image: delete, flip and resize


Card Background Templates

You can insert pre-set background, or even upload your own, to have a background image for a card.  

The templates we provide are mainly 'non-editable' - useful if you are using an ink stylus.  We also provide some 'editable' templates - they are table based but helpful starting points.  You are also able to set an existing card you have created to be a template - ideal if you have a set format for a card you want to follow.

You can also set a card to be a template. Just click the Set as Template icon:


The icon now turns blue telling you that Card has been set to be a template.  

You can now select that Card in the My Templates section on a new card:

When selected the new card will take the template settings, the color of the card will change to yellow and any text added into the card!

Drawing & Ink on Cards

Cards support full ink and handwriting via the Draw (pen) icon in the card toolbar. You can have text, images, and ink all on the same card at once.

Attaching Files


You can attach files by clicking the Attach File icon on a card. It will open up your File browser from your computer and you can pick a file. You can also attach more than one file to a card.


Front & Back of a Card

Every card in NoteDex has two sides — a front and a back. This makes cards ideal for study notes, flashcards, or any content where you want a question on one side and an answer on the other.


Flipping Between Front and Back

  • In the Card Editor, click the flip button (circular arrow icon) on the right side of the card to toggle between front and back.

  • The status line at the bottom of the card tells you which side you're on:
  • Front of Card 1 of 5
  • Back of Card 1 of 0 (0 means the back is empty)

> Tip: The back of a card has its own independent content — write whatever you like there. Great for answers, explanations, or additional context.




When a card is open in the editor:

  • Click the ← left arrow to go to the previous card in the stack.
  • Click the → right arrow to go to the next card.


  • The status line shows your position: Front of Card 2 of 5.


Tagging Cards

Tags let you filter and organize cards across a stack.

  1. Click ... on a card thumbnail → Set Tag.
  2. Choose an existing tag or create a new one (give it a name and color).
  3. Use Select Tag(s) in the filter bar to show only cards with a specific tag.

A card can have multiple tags assigned at once.


Local vs Global Tags

  • Local tags belong to a specific stack only ('Local to that Stack') — they appear in the tag dropdown when editing cards in that stack.
  • Global tags are available across all stacks — useful for statuses like To Do, In Progress, or Done that apply everywhere.

We have made this distinction so that when you are working on Tags in different Stacks you are not presented with Tags not relevant to that Stack context.


Global Tags show in the same list, below your Local Tags.


To manage tags: open any card → click the tag dropdown on a card → click Edit Tags. The dialog has a stack dropdown at the top — select a specific stack for local tags, or select Global Tags to manage tags that appear everywhere.

Tags are displayed as a color bar above each card's thumbnail in the Cards View, giving a quick visual overview of status or category.


In this example we see when we edit tags for this stack only one - 'Meetings shows. This is a tag specific to that Stack we created.


The other 'Global' tags showed. To edit those click on the dropdown at the top to select this special category:

and then you can edit your Global Tags, which are available from within any stack.


In this example we set To Do etc. since these are common tags I might use in any stack.


Favoriting Cards

  • Click in the card toolbar, or use ... → Add to Favorites on the thumbnail.
  • Access all your favorites across every stack via Favorite Cards in the left sidebar.
  • In the filter bar, click the ★ star button to show only favorited cards within the current stack.

Sharing Cards

  • You can share a card, just like you can a stack or workspace.
  • Click the Share icon on the Card menu
